Rehiring, Promotion, and Performance Reviews
Through the rehire process, departments and current student employees have the opportunity to confirm employment for the next fall.
Student Work-study Awards
Students are given yearly work-study awards to earn during the academic year. Federal work-study awards (FWS) are given to students who apply for, and receive, financial assistance. Wheaton Work awards are given to students who are not eligible for federal financial assistance. The work award for students for the 0910 academic year is $2,000. Students' total yearly earnings must not exceeed the total work award. On occasion, a FWS award will be less than the standard amount due to unique financial aid packaging requirements. Please feel free to contact Student Financial Services if you have questions pertaining to your students' work awards.
Rehire Policy and Procedures
- Hiring preference for working on campus is given to Federal Work Study (FWS) students. These students have been offered the opportunity to work on campus as part of their financial aid awards. The college has a primary obligation to ensure that positions are available for all FWS students who wish to utilize this part of their aid awards.
- Before rehiring students, department supervisors should check with your department's budget manager to determine the funds (both FWS and WW) available for hiring student employees for the coming year.
- Departments may rehire both FWS and WW students into current jobs, or may promote current students to existing jobs within the department. The Request for Hire/Work Authorization Forms (RWAF) should be completed for all students.
- If your department wishes to create a new position, you may request a Job Classification Form from the Student Employment Office (SEO) to complete and return. The SEO will classify, rate, and set up the new position on the BANNER system. The supervisor will be notified when the position has been registered. New and upgraded positions must be approved by the appropriate department/divsion heads.
- All rehired students who have been authorized to work by the Student Employment Office may begin working on the first day of classes.
Web Focus Reports
Supervisors may access information regarding the status of your student employees on the Campus Community Access Domain using Internet Explorer. Performance Evaluations
Because student employment at Wheaton is both a work-and-learning experience, employee performance reviews are strongly recommended. Whether the feedback is positive or negative, dialogue between supervisors and students moves to be invaluable in how it affects a student's continuing performance and retention. The Student Employment Performance Review Form becomes a part of the student's permanent work record.
The student's performance is evaluated for knowledge of job, initiative and self-reliance, acceptance of creative criticism, professional attitude, and dependability. More importantly, supervisors are asked to evaluate how the student could become a better employee in the future. It is the responsibility of the supervisor to complete performance reviews for all students, including graduating seniors. Performance review forms are requested in the spring. However, supervisors may submit performance review forms at any time to the SEO for students terminating employment mid semester, or after only one semester.
When supervisors complete performance reviews they should take the opportunity to consider if they will seek authorization to rehire or promote each student for the coming academic year
