Sample Accommodation Letter

Accommodations are approved for the student according to their documentation. Once students have registered with ODS, they are eligible to request reasonable accommodations which are approved based on their medical/disability need for access. Students are responsible for submitting an Accommodation Request Form online each semester. As soon as possible, ODS sends the student an email with the Accommodation Letter attached and instructions to print the letter/s and bring to each faculty member, preferably during scheduled office hours so that the practical arrangements for each accommodation can be agreed upon well in advance of the need for implementation. Accommodations are activated as a result of this student-initiated meeting with each faculty member.

Testing Accommodations                                                                                           

  • 50% extended time for in-class timed graded work
  • Distraction reduced testing location
  • Use of a computer for written responses
  • Alternative to scantron

Classroom Accommodations

  • 50% extended time for in-class assignments
  • Audio record lectures with professor permission
  • Access to lecture notes/PPTs if available
  • Use of a computer to take notes

Other Accommodations

  • Note sharer service (appointment with ODS needed)
  • Alternate formats of print materials (appointment with ODS needed)

Assistive Technology

  • FM System – make ask professor and/or classmates to wear a small microphone
  • Video Captioning
  • Transcripts for short videos
  • Captions/transcripts for music scores
  • Resources to find transcripts for short films and music

Please note:

  • Accommodation Letters are effective for one semester and must be requested each semester
  • Students have been asked to deliver a copy of their Accommodation Letter to each professor at the start of the semester and have been advised that accommodations go ‘into effect” only once the letter has been delivered
  • Students have also been asked to discuss mutually agreeable practical arrangements for each accommodation with their faculty well in advance of the need to use such accommodations
  • Last minute student requests for accommodations that need advance planning time may pose barriers to the provision of accommodations for a particular test/exam
  • Accommodations are not retroactive
  • Students and faculty are encouraged to discuss accommodations for Final Exams, especially when double time or technological accommodations may require exams to be held in certain time slots and/or in specific locations.
