Authorized Driver License

The Fleet Safety Program is intended to ensure that maximum safety for all drivers and passengers of college-owned, leased or rented vehicles by minimizing vehicle incidents which may result in injury or property damage and to provide adequate training to all authorized drivers or authorized passenger van drivers.  This program is administered by the Department of Public Safety in collaboration with Business Services and Physical Plant.

What is an authorized driver?  An authorized driver is a faculty, staff or student of Wheaton College who will be driving a college-owned, leased or rented vehicle on college business.  This vehicle can transport 8 or less passengers, including the driver.

How do you become an authorized driver (License B)?  A motor vehicle record (MVR) check will be conducted by Business Services (Park Hall Room 205).  If the applicant’s motor vehicle record meets risk management criteria, a Wheaton Authorized Driver License B will be issued by Public Safety.

What is an authorized passenger van driver?  An authorized passenger van driver is a faculty, staff or student of Wheaton College who will be driving a college-owned, leased or rented passenger van on college business.  This passenger van can transport 9-12 passengers, including the driver.  The college’s passenger van policy does not allow for rental or a 15 passenger van.

How do you become an authorized passenger van driver (License A)?  A motor vehicle record (MVR) check will be conducted by Business Services, and the application must successfully complete passenger van training under the direction of Public Safety.  This training includes classroom instruction, a written examination and van orientation.  If the applicant’s motor vehicle record meets risk management criteria and if the applicant successfully completes passenger van training, a Wheaton Authorized Driver License A will be issued by Public Safety.

How do you obtain a motor vehicle record?  The Business Services Office will conduct the motor vehicle record check on your behalf.  The Motor Vehicle Driving Record Release and Authorization, as well as the Disclosure and Acknowledgement, must be completed.  Hard copies, not electronic, must be returned to the Business Services Office (Park Hall Room 205).

The Disclosure and Acknowledgement form applies to all applicants.  The Motor Vehicle Driving Record Release and Authorization form applies to all applicants from most states, except Alaska, New Hampshire, Washington, and Pennsylvania.  These states have individual release forms as noted below:

  • State of Alaska:  Request for Driving Record
  • State of Washington:  Attachment G-Employee or Prospective Employee Request
  • State of New Hampshire:  Criminal Record Release Authorization Form
  • State of Pennsylvania:  Please contact Business Services

How long is a Wheaton Authorized Driver License valid?  The Wheaton Authorized Driver License is valid for one year.  Motor vehicle record checks must be performed annually to renew your license.  Passenger van training is a one-time requirement.

Do I need to submit the Motor Vehicle Driving Record Release and Authorization and/or the Disclosure and Acknowledgement form every year to renew my Wheaton Authorized Driver License?  Resubmission of these forms is only necessary if you have had a change of name or address.  They otherwise remain valid for the duration of your employment or enrollment as a student at Wheaton College.  Authorized drivers will simply need to send an email to Business Services to request an annual MVR check.
