ADMINISTRATIVE SUPPORT

Administrative Assistant II

Provide general administrative and clerical support to the department. Responsibilities can include record-keeping, filing, word processing, maintaining statistics, spreadsheets or databases, photocopying or scanning; assist with preparations for meetings, classes or events; serve as a receptionist or provide telephone and communication support; may assist supervisor with administration or training of other student employees.

Administrative Assistant III

Provide general and specialized administrative support to the department. Responsibilities can include record-keeping; development of record-keeping systems or databases; file management; word processing (to include composition of correspondence or other documents for the department); development and maintenance of statistical procedures, spreadsheets, or databases; photocopying or scanning; assistance with design and production of materials for meetings, classes or events; assist with departmental communication and represent the department in the absense of a supervisor; supervise or train other student employees or staff, including the design and development of training materials.

ARCHIVES & SPECIAL COLLECTIONS

Archives Assistant I

The duties and responsibilities of this position include preliminary sorting and processing of college archival records. This student assistant will also assist with maintenance of archival indexes, file documents in archives, shelve books in special collections materials designated by the archivist, assist with preparation of exhibits, type transcripts, labels, inventories, etc. In addition the student employee will answer the telephone and admit patrons in the absence of archives staff. This student will also be responsible for other duties as assigned.

Archives Assistant II

The Archives Assistant will provide routine reference service for research patrons, including a preliminary reference interview, retrieve appropriate books and materials for the researcher, refer requests to the archivist when appropriate, reshelf materials, and assist archivist with the planning and production of exhibits. In addition this student employee will oversee the Archives Reading Room in the absence of the archivist, assist with classification and filing of archival photographs, assist the archivist with processing of college archival records, and perform other duties as assigned.

Archives Assistant III

This individual would possess advanced knowledge, skills and abilities to perform the essential functions of the Archives Assistant positions such as processing, description and preservation of archival and special collections for access and public use, as well as to perform non-routine assignments related to research. Advanced knowledge (two or more years of prior experience in Archives Assistant position) would allow the individual to access restricted, confidential collections. In this position the individual would supervise Archives Assistants I and II as necessary and be able to work independently without constant supervision.
This individual would assist with coordination and preparation of special exhibits and projects, as well as planning and preparation for special events. In addition this student will perform special tasks, working independently, to enhance finding aids for the collections by creating or editing a database via software such as Minaret or Filemaker, or by describing a manuscript collection. Advanced knowledge of the collections, archives classifications and archival procedures is necessary to perform these tasks. This individual may require training to become proficient in database input and management.

DESKTOP SUPPORT/HELP DESK

Support Center Student Technician (SCST)

Duties and Responsibilities
All employees are expected to follow and adhere to the Support Center Student Employment Guidelines.

Specific responsibilities include: Answering and logging telephone calls from staff, faculty, students, and parents. Technicians working the Support Center will be called upon to visit locations around the campus that require hands-on troubleshooting. SCST's must be good problem solvers and have a willingness to learn. SCST's constitute the first level of support for the Wheaton Community and are expected to attend training sessions periodically. SCST's also assist the Support Center Student Manager with the implementation of the policies of The Support Center.

Technicians require several skills in addition to having an interest in computers and technology. Actual technical skills can be learned in the first semester of employment at the Support Center. Of more importance, however, is possessing a genuine interest in providing help to the Wheaton community, and being able to convey a positive attitude over the telephone and in person. They need to be both reliable and punctual, and be able to handle any type of call with patience and tact, even if the caller is upset and irritated.

All technicians will achieve one common goal. The goal of the Support Center is to resolve all calls as soon as they come in a professional and courteous manner. If a technician does not have the resolution for a call it is their responsibility to follow the escalation policy to resolve the call.

Skills/Experience Required
Must have good communication and social skills. Must be punctual and reliable. Knowledge of and ability to support Macintosh and Windows computers at the system level; moderate to expert knowledge of college standard software as well as a strong desire to learn and to share knowledge with others in a mature and professional manner.

Training Period
Training sessions must be attended when offered and on-the-job training is available throughout the year these include peer training sessions and Element K on-line courses. Participation in required training sessions is necessary for advancement.

Support Center Student Manager(SCSM)

Duties and Responsibilities
All employees are expected to follow and adhere to the Support Center Student Employment Guidelines.

The student holding this position will have full responsibility for managing the Support Center during evening hours and on weekends. Managers must have extensive knowledge of college standard software and a basic understanding of diverse course software. Each manager is required to develop an in-depth knowledge of a major software package and contribute to the Peer Training program by providing one training session per semester for other student employees of the Support Center. Student Managers must be capable of making decisions and taking responsibility for the safety and security of the Center and its equipment.

Student Managers are issued a key to the Center and a code to the security system. Managers must know the procedures and implement operational policies of the Support Center. Managers must possess management skills and provide on-going training and guidance to students in other positions. Student Managers are responsible for checking the Tracker database at the completion of every shift to assure proper data entry as well as verifying closed calls. They also coordinate evening dorm network visits for network configuration assistance. Managers oversee at least two other student employees at all times and will be expected to help with the performance evaluation of those students and decisions regarding promotions. Student Managers are expected to attend Manager meetings on a regular basis. Student employees at this level participate in the development of policy.

INSTRUCTIONAL TECHNOLOGY/LAB SUPPORT

Instructional Technology Assistant

Description of Duties:
The Instructional Technology Assistant will be responsible for working in a specialized academic lab, such as the Computer Graphic Design Lab, Music/Multimedia Lab, Digital Video Studio, Astronomy Lab, Digital Imaging Lab, or Geographic Information Systems (GIS) Lab. Main duties include assisting student users with the specialized hardware and software used in the lab, hardware and software troubleshooting and overall lab maintenance. Learning to use the software and hardware used in the lab is expected.

Experience/Skills Required:
Must be self-motivated individuals who are good problem solvers and willing to learn diverse software and hardware. Must be familiar with college standard software (MS Office Suite, WS FTP/Fetch) and at least two of the following depending on the lab assigned: (CGDL: Mac OS X, Photoshop, Illustrator, Quark XPress); DV Studio: Mac OS X, iMovie, Final Cut Pro, Quicktime); (Imaging Lab: OS X, Spot Imaging, Photoshop, Quicktime); (GIS: Windows 2000, Arcview, PHotoshop); (Music/Multimedia: Mac OS 9/X, Digital Performer, Finale, OMS, Midi); (Astronomy Lab: Windows XP, Maxim DL, The Sky, SkyPro, Starry Night Pro)

Web Technology Assistant

DESCRIPTION OF DUTIES:
The Web Technology Assistant will be responsible in creating and maintaining web pages, using graphics software to scan and manipulate text and images, investigating new software, and writing documentation. If interested, there is an opportunity to teach 1-hour evening workshops to other students, usually using prepared materials.

EXPERIENCE/SKILLS REQUIRED:
Fluent with personal computers (both Mac and Windows). Significant knowledge of Microsoft Office, and web page design tools, such as PageMill, GoLive, Dreamweaver, Photoshop, ImageReady, LiveMotion and Flash.

Requires reliability and commitment to meeting deadlines. Must enjoy problem solving. Must be able to work independently, prioritize work tasks and manage own time. Should be flexible, able to switch between projects from week to week. Must enjoy dealing with details. Requires willingness, and aptitude for learning new software.

Experience creating web pages (especially the ability to edit HTML) is a strong advantage, but we provide training. Artistic ability a plus. Interest in teaching a plus. Experience working with faculty a plus.

INTERLIBRARY LOAN OFFICE

Interlibrary Loan Assistant II

This student assistant has primary responsibility for supplying items held by the Wheaton Library to other libraries around the world. This student locates and pulls books and journal articles from shelves located all over the library; scans and sends articles using department specific software (Ariel); copies and mails articles to other libraries; sorts by delivery method and chooses packaging supplies; creates address labels; wraps books, videos, and microfilm for mailing. This employee answers the office telephone, responds to incoming questions, and refers questions to the proper staff person for assistance. This person also assists with other tasks as requested by ILL supervisory staff.

Interlibrary Loan Assistant III

In addition to Interlibrary Loan Assistant II duties, this student has primary responsibility for responding to other libraries' ILL requests and looks up requests in the Library's HELIN catalog to determine holdings, status, and location. This student updates all status changes made to requests in process for the local database and sends them to the worldwide network. This worker contacts patrons weekly via e-mail or telephone reminding them to pick up or return their borrowed items. This student assists with sending out overdue notices. This employee is increasingly more involved with training Interlibrary Loan Assistant II student employees. This person also assists with other tasks as requested by ILL supervisory staff.

Interlibrary Loan Assistant IV

Includes all of the duties and responsibilities that are in Level II and Level III plus receive, update and electronically send to the WHE community all incoming electronically received articles using department specific software (Ariel and Clio). In addition to training and supervising Level II and Level III student workers on a regular basis, the ILL Assistant IV employee organizes and teaches the 'Welcome Back' training session within the ILL department. This person is responsible for contributing to any LIS divisional or campus wide workshops involving Interlibrary Loan. When student workers from other departments require assistance in completing the Blackboard Learning Path exercise for Interlibrary Borrowing the Level IV worker will assist them and complete the procedure to 'sign off' on the completed exercise. It is expected that this student employee revise and rewrite updated versions of the ILL Borrowing Exercises for the Learning Path located in Blackboard when necessary, along with updating procedural manuals for the department. This position also assists the adult staff with special projects as required.

LIBRARY CIRCULATION

Circulation Assistant I

The student in this position will provide prompt and courteous service to patrons at the Circulation Desk and circulate library material. This student will also check in/out books, interlibrary loan, reserve items, videos, CDs and DVDs in HELIN (the library's automated system). Other duties will include searching the stacks for overdue and missing materials, monitoring and assisting patrons in the Listening & Viewing Rooms. This student will also shelve books and straighten collections as needed, answer telephones and give directional help to patrons. This student will be responsible for performing other duties as assigned. Strong interpersonal skills, reliability, and responsibility as well as ability to work a combination of day, night and weekend hours are required.

Circulation Assistant II

In addition to the duties and responsibilities of Level I Circulation Assistant, the Level II student assistant will assist in the processing of reserves, overdue notices, and billing. The Circulation Assistant Level II will be proficient in Circulation policies and procedures. This student assistant may assist in training the Level I Circulation assistants. The Circulation Assistant Level II student will also assist the Circulation Department staff with special projects such as shifting in the stacks. Other duties as assigned. Strong interpersonal skills, reliability and responsibility as well as ability to work a combination of day, night and weekend hours are required.

Circulation Assistant III

The Circulation Assistant will be in charge of the Library building and supervise student assistants in the absence of Library staff. This student will also be in charge of the Circulation department in the absence of Circulation staff, will supervise student assistants at the Circulation Desk.

This student employee will be responsible for opening and closing the Library in the absence of Library Staff, will know emergency procedures including evacuation of the building, and will respond to security alarms. In addition this student will act as a security checkpoint to insure Library materials are not taken out of the Library without authorization.

This Circulation Assistant will possess the knowledge and willingness to implement Library policy and procedures and will act as a patron resource for any Library related information including directional assistance for Library areas and materials.

This student will maintain Circulation student attendance records, resolve scheduling problems to ensure shift coverage and possess an overall knowledge of library operations.


This student will oversee the circulation of reserve material in the absence of staff, assist in the processing of reserves, assist with training and mentoring of new student assistants, assist with the scheduling of Circulation student assistants evenings and weekends. In addition this student will assign duties to student assistants, provide prompt and courteous service to our patrons, as will be responsbile for other duties as assigned.

Strong interpersonal skills, supervisory skills and the ability to work collaboratively in a team environment. Evening and weekend hours are required.

Circulation Assistant IV

The student in this position has all the qualifications of, plus one year's experience as level III Circulation Assistant.

LIBRARY PUBLIC SERVICES/TECHNOLOGY SUPPORT

Public Services Assistant II

The Public Services Assistant II provides front-line support for library public services, facilities and equipment. The PSA responds to questions about library resources and services, assists patrons with use of the library web site and the online catalog, and helps patrons to locate resources in all formats, or refer them to those who can. In addition, the PSA II will develop the skills required to support library-specific computing applications and equipment, including high-volume printers and photocopiers, microform reader/printers, and audiovisual equipment. Students will assist with setup of classrooms and equipment for instruction sessions. Students in this position receive supervision from the Library Systems Department and level III Public Services Assistants and will assist Reference librarians, library staff and other student employees working in public areas of the library.

The Public Services Assistant follows daily startup procedures and nightly closing procedures in public service areas; supply monitoring; assists with basic maintenance and troubleshooting tasks on computers and equipment in public service areas; problem logging and reporting; recording of service-related statistics; referrals of equipment repair issues or high-level troubleshooting to supervisors or the IT&S Support Center. Ability to provide basic assistance with the online library catalog and the Library web site will be developed. The PSA will participate in cross-training initiatives and is expected to set individual learning goals to further develop skills. Students may be asked to complete special assignments or projects, and to assist in other areas of the library when necessary.

This position requires outstanding public-service aptitude and reliability along with the aptitude and interest to develop technical and troubleshooting skills. Students holding this position will possess the knowledge and willingness to follow and implement Library policy and procedures. In addition this student will develop ability to assist patrons using standard productivity applications (such as Microsoft Office), file management and communication utilities. The PSA II will be responsible for knowing emergency procedures including evacuation of the building in coordination with the Circulation supervisor

Public Services Assistant III

The Public Services Shift Leader provides front-line support for library public services, facilities and equipment. This employee responds to questions about library resources and services, assists patrons with use of the library web site and the online catalog, and helps patrons to locate resources in all formats or refers them to those who can. In addition, the employee maintains the skills required to support library-specific computing applications and equipment, including public high-volume printers and photocopiers, microform reader/printers, and audiovisual equipment. The Lead PSA will assist with setup of classrooms and equipment for instruction sessions. Students in this position will receive supervision from the Library Systems Department and will work as service partners with Reference librarians, library staff and other student employees working in public service areas of the library,

The Public Services Assistant is responsible for daily startup procedures and nightly closing procedures in public service areas; supply monitoring; basic maintenance, troubleshooting and configuration tasks on computers and equipment in public service areas; problem logging and reporting; recording of service-related statistics; referrals of equipment repair issues or high-level troubleshooting to supervisors or the IT&S Support Center. Advanced knowledge of library services and competency with the online catalog, familiarity with the Library web site, and the ability to provide basic assistance in their use, will be expected. The employee is expected to provide training and leadership to other student employees and will participate in cross-training initiatives. Students may be asked to complete special assignments or projects, and to assist in other areas of the library when necessary.

This position requires outstanding public-service skills and demonstrated reliability, familiarity with supported operating systems, solid knowledge of standard productivity applications, and troubleshooting skills. Students holding this position will possess the knowledge and willingness to follow and implement Library policy and procedures. In addition this student will provide assistance to patrons using standard productivity applications (such as Microsoft Office), file management and communication utilities. The Lead PSA will be responsible for knowing emergency procedures including evacuation of the building, in coordination with the Circulation supervisor. This position will be responsible for managing library public areas and supervising other student employees during late night or weekend shifts when library staff are not on duty.


SLIDE LIBRARY (Located in rooms 138 & 9 Watson Fine Arts Building)

Assistant Slide Curator II

Responsibilities:
Mount and Mask new slides; repair old slides; file old and new slides; type drawer heading cards; assist Slide Curator (typing, filing, mail, picking up supplies, etc.); save data entry to catalog slides and digital images may also occur. May also be trained to edit and manage digital images and/or work with the copy stand.

File slides, mask and mount slides, as well as typing and other administrative duties Assist Patrons with procedures and guidelines.

Experience & skills:
Must be detail oriented with a high level of exactitude for filing slides, manual dexterity and precision for masking slides. An introductory art history course is required, upper level art history courses preferred. Art History majors/minors are preferred.

Assistant Digital Image Curator (Level 2)


Responsibilities:
Assist in the Slide Digitization project by scanning slides and cropping and color correcting digital images. May also be trained to manage digital image databases.

Digital Image Associate Curator (Level 3)


Responsibilities:
Assist in the Slide Digitizing Project by scanning slides and cropping and color correcting digital images. Assist with the digital image management work flow - uploading images to a server, making back-up files, and problem solving.

Associate Slide Curator (for cataloguing) III


Responsibilities:
Responsibilities include data entry to catalogue new slides and digital images as well as those uncatalogued already in the collection. Research is required using professionally established hierachies nomenclature and our own in-house classification system. Other responsiblities may include maintaining the filing systems in the slide drawers, acting as a reference aid to patrons, and masking, mounting and labeling new slides.

Copy Photographer II


Responsibilities:
Photograph slides from books and other sources using a 35mm and digital camera and a lighted copystand. Other administrative work flow tasks include maintaining records of images shot. Some masking and mounting of slides and digital image color correction may also be required.

Experience & skills:
Knowledge of 35mm cameras and basic photography skills are required. An eye for detail is highly desired. Training on copy stand is provided.

Senior Copy Photographer III


Responsibilities:
Photograph slides from books and other sources using a 35mm and digital camera and a lighted copystand. Other administrative work flow tasks include maintaining records of images shot. Some masking and mounting of slides and digital image color correction may also be required. Student works independently with little to no supervision, after at least one year's experience in the position.

Slide Scanner II


Responsibilities:
Scan slides and carefully assign digital filenames, save in various sizes & formats within a highly organized structure of file folders.

Experience & skills:
Scanning experience is a must. Familiarity with Photoshop software is a plus.

Digital Image Color Corrector III


Responsibilities:
Assist in the Slide Digitizing Project by scanning slides and cropping and color correcting digital images. Also assist with the digital image management work flow - uploading images to a server, making back-up files, and problem solving.

Scan slides and accurately color correct digital images. Other duties include carefully assigning digital filenames, saving in various sizes & formats within a highly organized structure of file folders.

Experience & skills
Must have experience with scanners and with Photoshop software. Must be able to work with a deadline and be committed to the position due to the extended training period. Studio art majors preferred.

Digital Image Project Supervisor III


Responsibilities:
Work with the Visual Resources Curator to supervise and help train other students who work on the project. Import images and data onto the server. Mange highly detailed information to assure that the information that is imported is accurate and correct. Trouble shoot technical questions and problems as they arise.

Experience & skills:
Familiarity with Adobe Photoshop, Filemaker Pro, XML and web page maintenance is desirable. Must be able to meet deadlines and have a sense of commitment to the position due to the training and specialty of skills and knowledge. Also important is the ability to work well with classmates as well as Faculty and Staff in the Art Department and LIS.

STACK MAINTENANCE DEPARTMENT

Stack Maintenance Assistant I

The Stack Maintenance Assistant is responsible for the daily shelving operation of the Wheaton College Library. This position is responsible for the shelving and properly maintaining 250,000+ volumes that are filed in the Library of Congress Classification sequence. In addition, this position is responsible for shelving of all printed formats of library materials including: books, microfilm/fiche, periodicals, reference materials and newspapers. The assistant is required to search for missing items that are requested by faculty, staff, and students. Strong interpersonal skills and reliabilty are required. Students may be asked to help other library departments with special assignments as necessary.

LIBRARY TECHNICAL SERVICES/CATALOGING

Technical Services Assistant I

The Technical Services Assistant I is responsible for the pick-up and drop-off of incoming and outgoing mail to and from the Wheaton Post Office throughout the day. This student will open, sort and distribute all incoming mail. In addition to mail responsibilities, the Technical Services Assistant I is primarily responsible for the timely check-in of daily newsprint both national and international, paying close attention to detail to ensure that the library database is accurate and up-to-date.

Technical Services Assistant II

The Technical Services Assistant II will be an integral member of the Technical Services Team, splitting their time between three departments - Serials, Cataloging, and Acquisitions. This interdepartmental position requires the ability to juggle tasks, set priorities and work independently. The Technical Services Assistant II is expected to be motivated and dependable and willing to work on special projects as necessary.

The Technical Services Assistant II is responsible for the processing of all formats of incoming mail, picking up and delivering mail to the Wheaton Post Office throughout the day.

Duties in the Serials Dept. include receipt and check-in of high volume of newsprint, stamping, taping in a timely manner to ensure quick access for our library patrons. This position will be responsible for preparing all incoming periodicals and microfilm/fiche for final check-in by the Serials staff, verifying invoices/packing slips for new books titles received. Attention to detail a must.

Working along side the Cataloging Dept. staff, the Technical Services Assistant II will process new books so that they can be forwarded on to faculty, 2-hour reserve assignments, and library patrons without delay. This student will be trained in the importance of special gift fund plating to ensure each individual donor is acknowledged. They are responsible for the quick turn-around of all newly catalogued books, using processing guidelines provided by the Cataloging staff.

The Technical Services Assistant II will assist the Acquisitions Dept. with day-to-day operations, filing, searching and providing clerical duties as needed. May assist, monthly, with the sorting and distribution of Choice Cards to faculty members campus wide. Will be trained to assist with special projects as needed.

Technical Services Assistant III

In addition to the above responsibilities, this student will assist interdepartmental supervisors with the ongoing training of new students. Additional requirements for this position include a minium of one year of service within the library. This student must enjoy working both independently and as part of a team.

MEDIA SERVICES/CLASSROOM AND EVENT SUPPORT

Public Services and Media Support Assistant II

The Public Services and Media Support Assistant II provides front-line user support for Media Services and activities at the Kollet Center for Collaborative Learning.

Media Support duties:

  • Lending of audio video equipment to faculty, staff and students(video, still cameras and audio recorders)
  • Answer and document 5600 calls for classroom support. Dispatch media services staff to address the problem in the classroom

Public Services duties:

This position provides front-line support for KACC public services, facilities and equipment. Students in this position must maintain the skills required to support Kollet Center specific computing applications and equipment, including high-volume printers and photocopiers. Students will receive direct supervision from the Director of Audio Visual Services and the Director of the Kollet Center for Collaborative Learning as well as additional training from other members of the Resources & Access unit of the LIS department.

This position is responsible for daily startup procedures and nightly closing procedures; supply monitoring; basic maintenance and troubleshooting tasks on computers and equipment at the Kollet Center; problem logging and reporting (AcuTrack and Filemaker Pro Data Entry); recording of service-related statistics; referrals of equipment repair issues or high-level troubleshooting to supervisors of the Technology Support unit of the LIS department. Students may be asked to complete special assignments or projects, and to assist in other areas of the LIS department when necessary.

The Public Services and Media Support Assistant II requires outstanding public-service skills and reliability along with the aptitude and interest to develop technical and troubleshooting skills. Students holding this position will possess the knowledge and willingness to follow and implement LIS policy and procedures. Students will also be responsible for knowing emergency procedures including evacuation of the building, and must be capable of monitoring public areas when staff members are not on duty.

Public Services and Media Support Assistant III

The Public Services and Media Support Assistant III provides front-line user support for Media Services and activities at the Kollet Center for Collaborative Learning.

Media Support duties:

In addition to performing all the tasks of an Public Services and Media Support Assistant II;

  • To set-up and retrieve audio-visual equipment throughout the campus for use in the classroom, meetings, and events. (Video, PowerPoint projection)
  • To have the ability to set-up and operate AV equipment
  • To become proficient in duplicating programs in various formats (digital to digital, VHS to digital, recording programs from satellite feed)
  • To operate a video camera for performances and events on campus

Public Services duties:

Students in this position must maintain the skills required to support Kollet Center specific computing applications and equipment, including high-volume printers and photocopiers. Media Support duties:

In addition to all the tasks of a Public Services and Media Support Assistant II & a Public Services and Media Support Assistant III;

  • Knowledge of all AV equipment
  • Ability to operate and set-up all AV equipment
  • To staff the Media Center at night
  • To be responsible for the security of the Center and all the equipment
  • To videotape major lectures and performances on campus
  • To train faculty, staff and fellow employees on the operation of AV equipment.
  • To keep up to date equipment inventory
  • Operating Sound Systems for PA and recording
  • Peer Training

POST OFFICE/OFFICE SERVICES

Mailroom/Office Services Assistant

Sort and stuff mail in campus mailboxes. Deliver packages to the Wheaton community. Assist with Office Services activities when needed (i.e. stapling, collating, help with fax machine and copiers). Must be reliable and friendly, with excellent interpersonal skills.
